Welcome to this week’s Tern product update. This update includes meaningful improvements to agency terms and conditions, AI Assist, Project Expedition, group trips, and a long list of quality-of-life fixes based directly on your feedback. Let’s dive in!
Agency Terms and Conditions: Now Fully Integrated with Forms
Agency terms and conditions have been available for a bit now, but this week we closed one of the biggest remaining gaps.
As a reminder, agency owners can set terms and conditions in Settings, and once published, those terms are automatically used when agents:
- Collect credit card authorizations
- Generate invoices
What’s new: Terms and conditions are now automatically included in trip request forms and contact information forms.
When a client fills out one of these forms:
- They are required to agree to your agency’s terms and conditions
- Their acceptance is logged with a timestamp
- The specific version of the terms they agreed to is retained and linked
We also:
- Retain terms and conditions when agents copy forms from the shared agency library
- Surface terms in the right-hand panel so they can be added to existing forms
Forms were the last major area where agencies asked to see terms enforced, so thank you for the feedback that helped drive this. Learn more.

AI Assist: Better Imports, Clearer Progress, and Feedback Loops
We made several meaningful improvements to AI Assist, especially for advisors importing supplier quotes and itineraries.
Payment Schedules Are Now Retained
Previously, AI Assist retained total costs but dropped important payment schedule details like deposits, installments, and final balances. That’s now fixed.
When importing an itinerary:
- Total cost, deposit amounts, and installment schedules are retained
- You no longer need to manually recreate this information
Improved Loading and Status Visibility
AI Assist now shows a clear loading state so you can see what’s happening in real time:
- Parsing activities
- Importing items sequentially
- Progress updates for longer itineraries
This should make imports feel far less opaque, especially for complex trips.
Discard Feedback Is Now Collected
If you discard an AI-generated itinerary, we now ask why.
This feedback is reviewed daily by our team and directly informs improvements to parsing, accuracy, and formatting. If AI Assist falls short, we want to know exactly where and how.

Project Expedition: Optional Add-Ons and Direct Booking
We’ve received a lot of positive feedback on the Project Expedition integration, along with clear requests to reduce setup work and uncertainty.
Optional Add-Ons for Clients
You can now:
- Add Project Expedition tours as optional add-ons
- Let clients choose whether they want to book
- Collect traveler counts and details directly from the client
Once selected, clients can authorize payment and the tour is booked directly with Project Expedition—no manual copy/paste required. Learn more.

Group Trips: A Much More Powerful Export
This is a big one, and long overdue. The group trip export now includes new columns for sub-trips, including:
- Confirmation numbers
- Rooms and room nights
- Total trip cost
- Payment and authorization status
- Remaining balances
- Notes added to sub-trips
If you’re tracking dozens or hundreds of sub-trips for a group, this should make reconciliation and supplier coordination dramatically easier. We’re very open to adding more columns here—keep the feedback coming.

Quality-of-Life Improvements (Lots of Them)
We also shipped a large set of smaller but impactful improvements:
Workflows Tab in the Trip Sidebar
- See which workflows are applied to a trip
- Link directly to the workflow
- Delete & re-apply a workflow without contacting Tern support
Contact Merging Fix
- When merging contacts, the selected contact no longer appears as a merge target
- Prevents confusing “you can’t merge a contact into itself” errors
Easier Trip Link Sharing
- New Copy Trip Link button
- No more reopening publish modals just to grab a link
Prefix Formatting Cleanup
- Periods are now only added to prefixes where they make sense
- “Mr.” still works, but spelled-out prefixes no longer get awkward punctuation
Reporting Improvements
- Agency client exports now include the agent’s email address, not just their name
Military States Supported
- Military states are now included in the structured state dropdown for client profiles
Arch Insurance Integration Improvements
- Clearer error messages when a quote can’t be generated
- Direct links to fix the underlying issue (such as a missing or invalid address)
- Improved reliability for auto-booking through ongoing beta feedback
